The Heritage Library is open to researchers from Tuesday to Saturday, 8:30 AM to 12:00 NN and 1:00 PM to 4:30 PM.

 

The Heritage Library will only accommodate a maximum of three (3) researchers per day.

All referral/request letters must be addressed to the Chief Librarian or the Prefect of Libraries. The library fee entitles visiting researchers to utilize other sections of the UST Library.

     

Procedures for Securing Approval to Access the Heritage Library

     

Administrators and Academic Officials, Academic and Support Staff, and Graduate Students

 

• 1. Submit a request letter with the following information:
• a. Purpose of visit
• b. Exact schedule of visit, i.e., date and time
• c. List of materials needed
• d. Contact information, i.e., mobile number and email address
 
• 2. The letter must be submitted to the Library Administration Office or emailed to library@ust.edu.ph at least three (3) days before the planned visit.
 
• 3. The Head Librarian will communicate approval using the contact information provided.

   

Undergraduate Students

 

• 1. Accomplish the Student Access Request Form and affix the signatures of the course facilitator, research adviser, and or the Dean of the Faculty/College/Institute.
 
• 2. Submit the accomplished form to the Head Librarian of the Heritage Library for processing.
 
• 3. Approval to access the Heritage Library may take one (1) to three (3) days, depending on the availability of signatories and requested materials. The Head Librarian will communicate any confirmations or delays through the provided contact information.
 
• 4. Once approved, student/s may access the Heritage Library.

   

Visiting Researchers

 

• 1. Submit a request letter with the following information:
• a. Purpose of visit
• b. Exact schedule of visit, i.e., date and time
• c. List of materials needed
• d. Contact information, i.e., mobile number and email address
 
• 2. The letter must be submitted to the Library Administration Office or emailed to library@ust.edu.ph at least three (3) days before the planned visit.
 
• 3. Approval to access the Heritage Library may take one (1) to three (3) days, depending on the availability of signatories and requested materials. The Head Librarian will communicate any confirmations or delays through the provided contact information.
 
• 4. After approval, the Head Librarian will notify the Reference and Information Section about the visit.
 
• 5. Upon entering the library, the researcher must proceed to the Reference and Information Section to present and surrender any valid I.D. and pay the library fee to secure a permit. Once accomplished, the researcher may proceed to the Heritage Library.

   

Guidelines for Accessing the Heritage Library

     

Arrival at the Heritage Library

 

• 1. Present the approved letter to any of the Heritage Library staff.
 
• 2. Present the library permit issued by the Reference and Information Section (for off-campus researchers only).
 
• 3. Fill out the Visitor’s Logbook and Researcher’s Data Form and read the Guidelines for the Use of the Collection.
 
• 4. Store all personal belongings, except those needed for research, in the designated lockers at the Heritage Library.
 
• 5. Begin the research activities.

   

Departure from the Heritage Library

 

• 1. Researchers may be checked by any of the staff upon leaving the Heritage Library for whatever reason.
 
• 2. Library materials must be turned over to any of the staff prior to leaving the Heritage Library. However, researchers may request the staff to set aside the materials in cases where they need to come back for further research.
 
• 3. All materials will be returned to the Stack Room and may not be left on the Reading Area or the librarian’s desk.

   

Guidelines for the Use of the Collection

     

• 1. All non-essential items must be stored in the assigned locker within the Heritage Library. Only laptops, mobile phones, wallets, pencils, paper, and notebooks are permitted in the Research Area.
 
• 2. Researchers are only allowed to use the materials in the Researcher’s Area.
 
• 3. Only pencils are allowed for note-taking.
 
• 4. Researchers may access up to three (3) titles or six (6) volumes at a time per visit unless the size or value of the material requires individual use. For larger volume needs, special permission from library administrators is required.
 
• 5. Researchers are given access to photocopies or digital images of materials if they are accessible in the Digital Library. However, researchers may consult the original upon evaluation by any Heritage Library staff.
 
• 6. Proper handling of the materials is mandatory. Researchers must have clean hands and refrain from making marks, resting objects on, or taking notes on top of rare materials. Gloves may be required in some cases.
 
• 7. Materials must be returned to any of the staff before leaving the Heritage Library. Researchers must remain in the Research Area until all returned items have been checked.
 
• 8. Taking photos of the collection using personal devices is prohibited. Researchers may accomplish the Reproduction Request Form when requesting copies (print/digital) of materials.
 
• 9. Failure to comply may result in denying or revoking access to the facilities and collections.

   

The reprographic service provides researchers with a digital and or a printed format of the scanned collections of the Heritage Library.

Procedures for the Reproduction Service

     

• 1. Requestor must fill out the Reproduction Request Form.
 
• 2. A billing statement and or quotation shall be sent to the requestor prior to the payment.
 
• 3. Payments shall be made prior to the delivery of the request through onsite payment in cash or GCash and or online bank transfer.
 
• 4. Requestor may settle online bank transactions to the following information:

• 6. Requestor should allow sufficient time for the preparation of the request, depending on its quantity, to be identified by any of the Heritage Library staff.

   

Guidelines for the Reproduction Service

     

• 1. Reproduction of materials is subject to the discretion of the UST Miguel de Benavides Library. When reproductions are requested, the size, condition, and donor restrictions of all materials are evaluated. Requests for reproductions may be denied if such work would damage the materials to be reproduced or infringe on other restrictions.
 
• 2. The Library follows the generally accepted copying model for copyrighted works of at least 5% for each material. The requestor assumes responsibility for observing applicable copyright laws and agrees to hold the UST Miguel de Benavides Library harmless for any loss, cost, damage, or expenses arising from the reproduction request.
 
• 3. The Library reserves the right to limit the number of items to be reproduced or to decline and refuse permission to reproduce any particular material with or without cause.
 
• 4. The requestor agrees to pay for the cost of reproduction according to the Reproduction Fee Schedule.
 
• 5. Copies of materials reproduced by the Library may not be used for profit and may not be placed in any other library or similar repository without prior permission.
 
• 6. Reproductions shall be used solely for research, teaching, or learning purposes. Copies requested may not be transferred to others, reproduced further, or published in any form without prior consent.
 
• 7. All uses of the reproduced copy must be properly credited to the University of Santo Tomas Miguel de Benavides Library, España, Manila, Philippines.

The Heritage Library offers an engaging tour, showcasing its extensive collections and rich history. The tour includes an overview of the collection, services, best practices, facilities and equipment, a complimentary brochure, etc.

 

Guidelines for Conducting Tours

     

• 1. The Heritage Library will accommodate a maximum of fifteen (15) guests per visit (except for dignitaries endorsed by the University). For tours with more than the maximum number of visitors, a video presentation about the Heritage Library will be presented at the Library Conference Hall, followed by a guided tour divided into groups.
 
• 2. Prior to the tour, visitors are reminded of the following:
 
• a. Deposit personal belongings except for valuables at the designated lockers/cabinets.
• b. Mobile phones must be switched to silent mode to avoid distractions.
• c. Photography without flash is allowed.
• d. Touching any material is strictly forbidden unless allowed by the staff.
• e. Eating and drinking are prohibited.
 
• 3. Visitors are advised to check their belongings before leaving the Heritage Library, as the library is not liable for any losses.

   

Procedures for Requesting Tours

     

• 1. Submit a request letter addressed to the library administrators and indicate the following:
 
• a. Affiliation and Name of Guest/s
• b. Purpose of visit
• c. Exact schedule of visit, i.e., date and time
• d. Contact information of representative, i.e., mobile number and email address
 
• 2. The letter must be submitted to the Library Administration Office or emailed to library@ust.edu.ph at least one (1) week prior to the intended visit.
 
• 3. The Reference and Information Section notify the approval through the provided contact information and will inform the Heritage Library of the approved visit.
 
• 4. Visitors will be assisted to the Heritage Library. Off-campus visitors are required to present a valid I.D. at the Reference and Information Section for a Visitor’s Pass.
   

Display and Viewing of Rare Collections

     

• 1. Displaying and viewing the original copies of selected rare collections may be arranged as necessary or as directed by the Library Administrators.
 
• 2. Only the Heritage Library staff are permitted to handle the materials.
 
• 3. Photography without flash is allowed.
   

The Heritage Library offers a unique and picturesque setting for photoshoots and filming. To ensure the preservation of its rare collections and historic ambiance, all photography and filming activities must be pre-approved by the Library Administrators and supervised by library staff.

 

Procedures for Photoshoot and Filming

     

• 1. Request submission:
 
• a. For activities intended to be shown locally or internationally through public media, address and submit a request letter to the Office of the Secretary-General.
• b. For personal or private use, address and submit the request letter to the Chief Librarian or the Prefect of Libraries.
 
• 2. Include the following in the request letter:
 
• a. Affiliation
• b. Name of Contact Person
• c. Purpose of photoshoot or filming activity
• d. Exact schedule, i.e., date and time
• e. List of photo equipment to be used during the photoshoot or filming activity
 
• 3. Upon approval:
 
• a. In-campus patrons must inform and present the list of photo equipment to the library security personnel.
• b. Off-campus patrons must submit any valid ID to the Reference and Information Section to secure a Visitor’s Pass and present the list of photo equipment to the library security personnel.
   

Guidelines for Photoshoot and Filming

     

• 1. Prior to the activity:
 
• a. Settle the library fee of PHP 100.00 per person per visit.
• b. Deposit personal belongings, except for the equipment to be used, at designated lockers/cabinets.
• c. Accomplish the Visitor’s Logbook.
 
• 2. During the activity:
 
• a. Hair and make-up, costume preparation, and similar activities must be done outside the Library.
• b. Use of intense lights is not allowed; a light diffuser is required.
• c. Eating and drinking are not permitted.
 
• 3. After the activity:
 
• a. Provide a copy of the produced photos and film to the Heritage Library for documentation purposes.
   

The Heritage Library recognizes the importance of showcasing its collections and permits lending to institutions capable of ensuring its safety. Loan agreements will be established only when all conditions specified in the procedures and guidelines are satisfactorily met.
